Privacy policy · Effective 26 August 2026
Clavé Books is a proprietary product of Palacio IP Holdings, LLC, operated by Palacio, Palacio & Zimmerman LLC. This policy covers the Clavé Books product and this website. Your engagement letter governs the professional relationship itself; where the letter and this policy both speak, the engagement letter controls.
We collect what is needed to keep your books and nothing beyond it. We never see or store your bank login. We do not sell your information, share it with other clients, use it for advertising, or use it to train artificial intelligence models. When our engagement ends, the bank connection ends with it.
Information you give us. Your name, business name, email address, phone number, and the details needed to set up your account. Documents and records you send us or upload — invoices, bills, receipts, statements, photographs of paperwork, and anything forwarded to a Clavé Books bills address.
Bank and card transaction data. If you choose to connect a financial account, the transactions on that account. This has its own section below.
Data from services you connect. Where you ask us to, information from systems you already use — a point-of-sale system, a delivery platform, a payroll provider, an accounting file. We receive only what those services provide for the accounts you connect.
Information created by the work. The books themselves: your chart of accounts, journal entries, reconciliations, financial statements, and the filings prepared from them.
Technical information. Log data such as IP address, browser type, pages viewed and timestamps, used to operate and secure the service.
This is the part people ask about, so it is written plainly.
You log in at your own bank. The connection is made through a regulated financial data provider. You are taken to your bank's own website or app to authorize it. Your bank username and password are never shown to us and are never stored by us. We do not hold your banking credentials, and we do not log into your bank on your behalf.
We ask for transactions. The lines that appear on your statement — date, amount, and the description the bank supplies. We do not request account owner details. We do not request your full account or routing numbers for the purpose of moving money. Where a reconciliation requires an account balance, we will request balances and the authorization screen will say so before you agree.
We cannot move money. The connection is read-only. Clavé Books cannot initiate a payment, transfer or withdrawal from a connected account, and is not built to.
What we do with it. Code your transactions to your chart of accounts, reconcile your accounts, and prepare your financial statements and filings. That is the entire purpose. It is not used for any other purpose, for any other client, or for any product other than your books.
You can disconnect at any time, either from your own bank's connected-apps settings or by telling us. Disconnecting stops any further transactions from reaching us; it does not erase books already prepared from transactions already received, which we are required to retain as accounting records.
When our engagement ends, the connection ends. We revoke it as part of offboarding, and the underlying financial account data is deleted on the schedule in Retention below.
Service providers who make the product work — hosting and infrastructure, the financial data provider that carries the bank connection, document storage, and email delivery. Each receives only what its function requires and is bound to use it only for that function.
Your own advisors, where you direct us in writing to share information with them — a lender, an attorney, another accountant, an insurer.
When the law requires it — in response to a subpoena, court order or other legally valid request, or where disclosure is required or permitted by law or professional standards. Where we are permitted to tell you first, we will.
In a business transfer, if Palacio IP Holdings or Palacio, Palacio & Zimmerman is involved in a merger, acquisition or sale of assets. Information would remain subject to this policy or one no less protective, and you would be notified.
Where we prepare tax returns for you, the information you provide for that purpose is tax return information under Section 7216 of the Internal Revenue Code. We use and disclose it only as permitted by that section and its regulations. Any use or disclosure requiring your consent will be presented as a separate, specific written consent — not buried in this policy and not implied by your use of the service.
Palacio, Palacio & Zimmerman is a financial institution for purposes of the Gramm-Leach-Bliley Act and maintains a written information security program as required by the FTC Safeguards Rule. In practical terms:
No system is perfectly secure and we do not claim otherwise. If a breach affecting your information occurs, we will notify you as required by law and tell you what happened and what to do.
We keep client records for the duration of the engagement and afterward for the period required by law, professional standards and our records retention policy — generally seven years for accounting and tax records.
Connected financial account data is treated differently from the books themselves. The connection is revoked at offboarding. The raw transaction feed is deleted within 90 days of offboarding. The books prepared from it are retained as accounting records for the period above, because they are the record of work performed and may be needed by you, a successor accountant, a lender or a taxing authority.
To exercise any of these, use the contact details below.
Clavé Books is a product for businesses. It is not directed to children and we do not knowingly collect information from anyone under 13.
We will post any change here with a new effective date. If a change materially affects how we handle your information, we will tell you directly before it takes effect. Prior versions are retained and available on request.
